JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State Human Resources is seeking a detailed-oriented and knowledgeable HR Records Analyst to join the HR Compliance team. This role handles and coordinates the day-to-day administration of personnel records, serving as the primary resource for HR records management. The successful candidate will ensure compliance with retention policies and maintain accuracy across HR systems. The HR Records Analyst applies policies and best practices to support efficient documentation and records processes throughout the department.

The responsibilities of this position include but are not limited to:

  • Serve as the subject matter expert in Records Management within Human Resources, interpreting and applying related policies and procedures.
  • Plan, organize, coordinate, and assist in the daily operations of personnel records management, ensuring integrity, accuracy, and confidentiality of all records.
  • Maintain and update employee records across various systems including Document Management Systems (DMS), HR databases, and physical files.
  • Partner with HR teams to understand process impacts on records and ensure proper documentation and retention is applied.
  • Identify points of escalation or collaboration with other HR areas to resolve issues related to records or document management.
  • Develop and implement best practices in HR records handling, retention, storage, and disposal in accordance with University and legal guidelines.
  • Generate reports and support audits related to personnel records.
  • Monitor and ensure adherence to data privacy and confidentiality requirements.
  • Assist with projects related to digital transformation and continuous improvement in records management processes.

Minimally requires an Associate's Degree and 2 years of relevant experience, or an equivalent combination of education and experience. The successful candidate must demonstrate accuracy and attention to detail, professionalism, the ability to work independently, as well as part of a team; and a high degree of sensitivity in handling confidential information. Proficiency in Office365 suite is preferred. The successful candidate will also possess strong customer service and communication skills, both oral and written; the ability to effectively learn and utilize new technologies; and the ability to prioritize and multi-task.

This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
