Title: Administrative Coordinator - OASIS $24.10 - $24.60 / Posted Thru: 5/10/2025 Full-Time / 30 Hours Per Week Location: Remove-Virtual - Requires Occasional In-State and Out of State Travel Purpose: OASIS is seeking someone passionate about helping organizations and individuals live into their values, skilled at project and process management, and interested in health equity and social justice. Under the direction of the OASIS Lead, the Administrative Coordinator will support day-to-day operations for the Office in a predominantly virtual, dynamic, and complex environment, coordinate, communicate, and follow-up with staff to support and complete goals within day-to-day operations and provide ongoing support to a wide range of administrative related tasks as needed. This position will maintain a high degree of confidentiality. The Office for Anti-Oppression Strategy and Internal Solutions (OASIS) exists to strengthen and sustain the Michigan Public Health Institute's (MPHI's) internal practice of our values, to ultimately enhance our external impact as public health professionals. OASIS serves as a central hub, connecting MPHI staff and resources in partnerships that seek innovative solutions for ensuring MPHI's systems and work culture align with our core values like health equity and social justice. OASIS supports various projects, including staff partnerships for internal policy improvement, anti-oppression and affinity group dialogue spaces, external partnerships on applying the OASIS model in the field of public health and a high school mentorship/pipeline program. Duties and Responsibilities:
- Provide administrative Support.
- Organize the scheduling and coordination of project meetings, interviews, and other OASIS-related gatherings.
- Arrange virtual meetings/events via Teams, Zoom, and other virtual platforms, including scheduling, managing participant communication, supporting the meeting through screen sharing, managing the chat and breakout room, and other technical support needs during a virtual gathering.
- Assist in preparing project materials and products for meetings/trainings/events.
- Create, save, and distribute meeting minutes and monitor needed follow-up.
- Support and complete any post-meeting/training/event wrap-up, including summarizing event evaluation reports, creating, and disseminating event summaries/notes. Project Coordination Support
- Provide primary support for Office leadership's effective and timely achievement of day-to-day and strategic tasks and goals using project coordination software platforms and tools
- Monitor task status and participates in proactive planning to maintain project and goal deadlines.
- Lead the selection, organization and process improvement of project coordination tools and platforms (e.g. MS Planner, Teams, Tasks, Excel). Document Management Responsibilities
- Track, update, and save documents created and received by projects.
- Generate, input, edit, and proofread meeting notes, reports, correspondence, charts, graphs, and other documents using Microsoft Office applications. Other Project Support Responsibilities
- Collect and enter data as project needs arise.
- Disseminate project-related information to the appropriate persons.
- Actively participate in project training, team, and staff meetings.

Qualifications/Requirements: Education: A high school diploma or equivalent is required. Possession of a bachelor's degree preferred for advanced levels within the position. Experience: At least 5 years of experience working in a professional environment (physical or virtual) is required, both is preferred. Intermediate to advanced understanding and experience in fundamental administrative and clerical methods and tools. Demonstrable experience providing project coordination support for groups and teams. Comfort and fluency in using Microsoft Office Suite and other cloud-based and collaboration applications. Important Skills and Characteristics:
- Intermediate knowledge of the principles of administrative support, including office procedures, email communication, meeting logistics, data entry, and document creation and the ability to proactively address and execute relevant administrative needs independently.
- Intermediate capabilities with Microsoft Office applications (particularly Word, Excel, PowerPoint and Outlook), and other types of cloud-based and collaboration applications (e.g. Microsoft Teams, Virtual Meetings, Google Drive).
- Experience and proficiency with project management platforms or other methods and tools for keeping projects on time and on task.
- Experience, interest in and proficiency with PowerPoint and other tools and skills for visual presentations.
- Intermediate oral and written communication skills with professional and lay audiences
- Ability to organize, evaluate, and present information effectively.
- Ability to work effectively in a team-based environment, including working with remote or virtual team members.
- Professional work ethic, effective time management, and diverse collaboration skills.
- Practices self-awareness with comfort, appreciation and experience in giving and receiving feedback, setting health boundaries and seeking out opportunities for growth, learning and improvement.
- Demonstrates a strong level of emotional intelligence. Preferred additional skills (willing to learn):
- Ability to travel within and outside the state.
- Intermediate document design skills.
- Experience and familiarity with leading meetings and facilitation best practices.
- Background or interest in public health.
Work Environment and Physical Requirements: This position is fully virtual and open to applicants from most States. Most work occurs between 9 and 6 Eastern time, and some tasks may require travel.
