About the Job

Summary of Level:
Employee works with limited supervision and usually within established guidelines and norms. Employee may seek assistance when problems and/or solutions deviate greatly from standard guidelines. Employee has a significant role in the administrative and operational systems for the women's basketball program. The employee must exhibit flexibility, adaptability, and problem solving within the context of college athletics and the operations of the University.

Description of Specialty:
Under the direction of the head coach, the position of Director of Operations for Women's Basketball (DOBO) manages and oversees the overall operations of the off-court and business operations of the women's basketball program, including budget management. This position is instrumental in organizing, operating, and implementing policies and procedures in all "off-court" aspects of the basketball program. The DOBO may act on behalf of the head coach and assistant coaches with some internal and external stakeholders, in a manner that reflects the head coach's priorities and the University's mission, vision, and values. Finally, this position will provide the head coach with problem solving, analysis, and recommendations for increased efficiency of the program's administrative operations.

Job Duties:
Business Operations - 40%

  1. Budget Oversight
    1. Oversee all budgets and work collaboratively with the Business Office budget manager to ensure efficient use of resources.
  2. General Operations
    1. Organize and maintain Head Coach's schedule.
    2. Assist Associate Head Coach with contracts and scheduling.
    3. Manage correspondence and mail.
    4. Oversee all requests for items (autographed items, tickets for games, etc.) and maintain appropriate compliance documentation
    5. Answer incoming calls and work with in-person visitors
    6. Order and inventory office supplies

Travel Coordination - 20%

  1. In season Travel Oversight
    1. Manage all aspects of team travel including transportation, meals, and accommodations.
    2. Work with individual hotels on contracts, menus, and schedules.
    3. Work with the Business Office on charter travel including communicating with the charter company for the manifests, scheduling changes, and departure and arrival times.
    4. Work with various constituents to coordinate and execute travel for donors, members of the Board of Regents, members of the University's executive team, and departmental administrators when traveling with the team to competitions.
    5. Work with outside travel entities for international travel and foreign tours.
    6. Post season travel oversight
    7. Serve as the tournament contact during the B1G Women's Basketball Championship and other post season tournaments including the WBIT and NCAA tournaments.
    8. Work with the spirit team director and band director to coordinate spirit and band travel during post-season.

Compliance and Team Operations - 15%

  1. Compliance
    1. Maintain all compliance documentation including, but not limited to initial eligibility, continuing eligibility, SA employment, and booster interactions.
    2. Maintain team calendar for CARA and RARA
  2. Team Operations
    1. Manage and coordinate Letterman's Awards
    2. Work with the assigned coach in maintaining NIL and scholarship papers.
    3. Manage and coordinate pre-game and post-game meals.
    4. Oversee and manage player Red Card usage during travel and over semester breaks
    5. Visiting Team Liaison including confirming shoot around times and acting as the point of contact for visiting team travel party
    6. Contact with housing and residential life to oversee all housing matters.

Recruiting - 15%

  1. Assist in the recruitment of student athletes for basketball including coordinating recruiting events.
  2. Work with the recruiting coordinator to schedule official and unofficial visits including managing the staff schedule, itineraries, transportation, and hotel accommodations.
  3. Coordinate travel and reimbursement for coaches related to recruiting.
  4. Assist with appropriate documentation for compliance and reimbursement purposes

Other Duties as Assigned - 10%

  1. Other duties as assigned by the head coach
  2. Know and understand NCAA rules related to the on-going performance of duties within an NCAA Division I program and commitment to follow those rules.
  3. Assist in advancing the department's mission, vision, and strategic plan including its commitment to equity and diversity.
  4. Ability to offer direction, insight, and forward thinking as college athletics continues to evolve at a rapid pace.
Qualifications

Required Qualifications:

  • Previous experience as a director of operations or similar role within a sporting organization or individual team and/or experience as a basketball student-athlete, administrator, or coach at the collegiate or professional level.
  • Knowledge of NCAA, Big Ten, and University rules, policies, and procedures.

Pay and Benefits

Pay Range: $80,000.00 - $82,400.00 annually; depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment

Position Type: Faculty and P&A Staff
