Job Summary |
Auburn Advancement is excited to begin the search for a Office Supervisor to join our philanthropy team! This position is vital in building lasting relationships and securing the resources needed to support Auburn Advancement and Auburn University's philanthropic mission.
What You'll Do:
Be the Face & Voice of the Alumni Experience You're the first impression!
- Welcome every guest and caller with professionalism and warmth
- Manage the Alumni Association inbox and route communications with care
- Serve as a go-to guide during new employee orientation and building tours
- Ensure smooth visitor experiences by overseeing parking rentals and guest logistics
Drive Events from Concept to Celebration Make every event unforgettable!
- Book and manage event spaces with precision and flexibility
- Coordinate setup logistics, tech needs, and day-of execution
- Prepare rental agreements, manage payments, and reconcile event finances
- Support cross-campus events with banners, A/V, tablecloths, and more
Master the Details Behind the Scenes Keep operations running like a well-oiled machine!
- Enter and track budgets, invoices, and receipts across platforms
- Maintain accurate records for key access, employee postage, and supply inventory
- Manage shipping and deliveries, ensuring nothing slips through the cracks
- Keep snacks, drinks, and resources stocked for a welcoming work environment

- Coordinate student worker schedules for optimized coverage

Essential Functions |
Purpose
- Serve as the first point of contact by answering and directing calls and greeting visitors
- Manage Alumni Center event space bookings and rental agreements
- Oversee Alumni Center gameday and student parking rentals
- Serve as an Advancement Advocate, welcoming and orienting new employees
- Monitor and respond to emails in the Alumni Association inbox
- Maintain key inventory and online door access for employees
Production
- Schedule meeting/event room requests and manage logistics/setups
- Maintain snack/drink inventory in the Tiger Den
- Enter budgets, invoices, and credit card receipts for reconciliation
- Receive and distribute packages and deliveries
- Order and manage inventory for office supplies and postage
- Handle UPS shipping for employees
- Facilitate reservations for the golf cart in Smartsheet
- Maintain employee postage inventory
Innovation
- Use Smartsheet to manage event logistics, budgets, and scheduling
- Maintain a digital key inventory and access system for secure facility management
- Reconcile financial data across platforms to support budgeting accuracy
- Provide A/V and logistical support for events across departments, maximizing shared resources
Collaboration
- Provide administrative and logistical support for departments such as Membership, Class Rings, SAA, and other Advancement areas
- Coordinate with internal departments for event needs such as banners, tablecloths, and A/V
- Manage student worker schedules to ensure adequate staffing and support
- Serve as a building liaison and resource for new employees during orientation

Minimum Qualifications

- High school diploma or equivalent plus 6 years of experience OR
- Associate's degree plus 4 years of experience OR
- Bachelor's degree plus 2 years of experience
