Job Description
Are you the go-to person who always seems to have the answer, a calming voice on the phone, and a sixth sense for keeping things running smoothly? If your superpower is making organized magic happen behind the scenes, we'd love to meet you! We're on the lookout for a Senior Administrative Assistant who's ready to take charge of our Department of Medicine office support. This role is perfect for someone who thrives in a fast-paced environment, takes initiative, and brings a warm, professional presence to everything they do. What You'll Be Doing:
  • Be the face and voice of the Department of Medicine - welcome guests, direct visitors, and handle the main phone line like a pro.
  • Keep the wheels turning smoothly - manage office and kitchen supplies, maintain equipment, and organize mail and conference rooms.
  • Support our leadership - provide top-notch administrative support, pitch in on special projects, and ensure the office runs like a well-oiled machine.
  • Own your space - proactively identify ways to improve front desk operations and the overall office experience.
  • Handle it all - scheduling, proofreading, managing documents and confidential files, and backing up other staff when needed.
What You Bring to the Table:
  • A high school diploma or equivalent (bonus points for training in secretarial skills!)
  • 5+ years of hands-on, increasingly responsible administrative/secretarial experience.
  • A professional, polished presence with excellent communication and customer service skills.
  • Ability to juggle priorities with grace and confidentiality.
  • Tech-savvy, especially with Microsoft Office Suite and any other software your department might need.
  • A team-oriented mindset with strong judgment, reliability, and discretion.
Perks of the Position:
  • Work alongside supportive, high-impact executives and teams.
  • Be a trusted, valued part of the organization's daily heartbeat.
  • Help shape an organized, welcoming, and efficient office environment.
This isn't just another admin job - it's a chance to be the glue that holds it all together.
