Purpose of Position
This position provides comprehensive support to the Dean of the College of Education, ensuring the Dean is equipped with timely and relevant information for meetings, events, and initiatives. Responsibilities include managing the Dean's calendar, coordinating travel arrangements, monitoring compliance training completion, and assisting in the prioritization of tasks and timelines.
Additionally, the role oversees the planning and execution of events and programs hosted by the College. The incumbent will serve as the administrator for college strategic initiatives, tracking and analyzing metrics, and generating data reports to support the College's strategic goals.
Marketing responsibilities include serving as the primary liaison to the Office of Marketing and Communications (MarComm) to maintain and update the College's website, develop and distribute marketing materials, and manage the College's presence on social media platforms to enhance visibility and engagement.
Primary Responsibilities
Executive Support to the Dean of the College of Education
Provide high-level administrative support to ensure the Dean is informed and prepared for meetings, events, and responsibilities. Key duties include:

  • Managing the Dean's calendar with sound judgment, balancing competing priorities.
  • Preparing and providing relevant materials for upcoming meetings.
  • Coordinating local, national, and international travel arrangements.
  • Assisting with college correspondence and monitoring faculty and staff compliance training.
  • Supporting the Dean in task management and prioritizing responsibilities and timelines.


Event Management
Oversee the planning and execution of major events and programs hosted by the College of Education, ensuring seamless coordination and successful outcomes. Responsibilities include:

  • Scheduling facilities, equipment, and catering services.
  • Managing RSVP lists and seating charts.
  • Designing and distributing event invitations and marketing materials.
  • Developing and maintaining a comprehensive calendar of events.
  • Communicating with attendees before and after events, gathering feedback, and reporting on outcomes.
  • Coordinating logistics for key events such as College Convocation, Student Awards, Board Meetings, Student Advisory Council Programs, Alumni Dinners, CAEP Advisory Council Events, Donor Events, and Graduation Ceremonies.

Administration of College Strategic Initiatives and Operations
Provide administrative leadership for College Strategic Initiatives, ensuring alignment with institutional goals. Responsibilities include:

  • Serving as a liaison with Implementation Teams to provide resources, budgetary support, and effective communication.
  • Tracking and analyzing metrics, outcomes, and progress across strategic teams.
  • Offering administrative support for college-level meetings.
  • Extracting and reporting data from university databases to inform strategic decision-making.

Marketing and Communications
Enhance the visibility and reputation of the College through strategic marketing and communication efforts. Key duties include:

  • Collaborating with the Office of Marketing and Communications (MarComm) and the College Leadership Team to ensure the college website features accurate, engaging, and relevant content.
  • Partnering with MarComm, the College Advising Center, and College Leadership to create and distribute tailored marketing materials.
  • Managing the College's social media presence to promote events, initiatives, and highlight faculty, staff, and student achievements.

Qualifications

  • Bachelor's degree with a minimum of two years of relevant work experience, or three years of experience as an Administrative Assistant, including at least one year of management or supervisory experience.
  • Proficiency in Microsoft Office Suite is required. Experience in higher education administration, business management, or student support services is preferred.
  • Strong communication skills with experience in survey creation and data management.
  • Basic training or experience in website maintenance and marketing is preferred.
  • Demonstrated ability to take initiative, work independently, and problem-solve effectively.
  • Proven capacity to manage multiple tasks, meet deadlines, and thrive in a fast-paced environment.
  • Ability to perform both sedentary computer-based tasks and occasional physical activities, such as walking items across campus and lifting boxes of paper, stationery, or event supplies.
