Administrative Assistant

This Position requires an active NACI Level 1 clearance to be considered

The Administrative Assistant provides clerical and administrative support to ensure smooth and efficient office operations. They perform tasks such as answering phone calls, managing schedules, organizing documents, and coordinating meetings. They also handle correspondence, maintain records, and assist in various administrative duties as needed.

Compensation & Benefits:

Estimated Starting Salary Range for Administrative Assistant: $75,000 -85,000

Pay commensurate with experience.

Full-time benefits include Medical, Dental, Vision, 401K and other possible benefits as provided. Benefits are subject to change with or without notice.

Administrative Assistant Responsibilities Include:



  • Manage a broad range of administrative tasks, including but not limited to managing up to 15 individual and group calendars, scheduling and editing meetings, setting up calls, creating and distributing agendas, and taking detailed notes or minutes during meetings.
  • Maintain organizational charts and branch contact lists, creating new and maintaining existing organizational charts and contact lists as needed.
  • Track all ORISE and Title 42 fellows for the branch by maintaining an updated list of fellows and their funding sources, accounting numbers, and anticipated salaries.
  • Collaborate with branch leadership and division staff to maintain active conference lists and coordinate conference attendance, registration, and memos.
  • Manage team mailbox, promptly responding to emails and directing to appropriate staff when needed.
  • Provide travel support for roughly 20 FTEs by creating and entering domestic travel requests into the SharePoint and Concur Travel Systems
  • Provide budget oversight to the multiple funding streams that support the branch's activities.
  • Collaborate with branch leadership and division budgetary staff to ensure that planned and anticipated projects and expenses are appropriately listed, and obligated expenses are correctly reported and tracked.
  • Track funding allocations, expenses, and requests for funding so that all pertinent financial information is available for branch leadership review.
  • Execute branch expense requests in various systems as appropriate, whether that be a credit card purchase request, a request to utilize available emergency response funds, prior year funds request, or an expense reimbursement request.
  • Coordinate with the division staff to relay this funding information, so that all personnel action details can be verified and completed within appropriate timelines.
  • Performs other job-related duties as assigned



Administrative Assistant Experience, Education, Skills, Abilities requested:



  • Proficient in Microsoft Office applications
  • Proficient in Microsoft MS Excel as an Expert User or Ability to manage multiple high-priority assignments
  • Possess excellent communication and organizational skills with the ability to multitask, set priorities, and meet deadlines
  • Highly proficient in Microsoft Office suite including Excel, Outlook, OneNote, Word, and PowerPoint.
  • Proficient in video conferencing platforms (Microsoft Teams and Zoom) and Concur.
  • Associate degree from an accredited college or university is required. Bachelor's degree or higher preferred.
  • Minimum of 3-5 years of experience of administrative experience.
  • Office Procurement experience required.
  • Executive calendar management is required.
  • Must pass pre-employment qualifications of Cherokee Federal
