Position Summary

The Assistant Director of Chart Completion is a key member of the Health Information Management (HIM) department, responsible for ensuring the accuracy, completeness, and timeliness of patient medical records. This role requires strong leadership skills to effectively manage chart completion and transcription operations, support medical staff, and supervise departmental personnel. The ideal candidate will demonstrate expertise in medical records management, regulatory compliance, and team leadership, with a steadfast commitment to maintaining high standards of quality, accuracy, and service across all areas of responsibility.

Duties of an Assistant Director of Chart Completion may include the following but are not limited to:



  • Oversee daily chart completion and transcription operations, ensuring processes are efficient and aligned with organizational goals and objectives.
  • Manage and monitor medical record documentation, ensuring compliance with regulatory and organizational standards for accuracy, timeliness and accessibility.
  • Manage the physician notification process for medical record warnings and suspensions, ensuring accurate, timely communication for documentation completion.
  • Oversee transcription service, ensuring quality control and adherence to turnaround time requirements.
  • Provide support to medical staff with chart completion, dictation, and transcription needs to facilitate accurate and efficient documentation.
  • Supervise and lead chart completion and transcription staff, fostering a culture of productivity, accountability, and continuous improvement.
  • Participate in the implementation and testing of software systems related to HIM.
  • Responsible for the tracking and management of unsigned or refused orders with demonstrated experience to maintain compliance.
  • Assist with medical record completion of emergency room visits as needed.
  • Assist with medical record amendments, encounter corrections, and note type changes to ensure documentation integrity.
  • Assist with physician approval and release of confidential notes, ensuring secure and authorized access as needed.
  • Assist with the collection and maintenance of statistical data for departmental reporting and analysis.


Qualifications
Required Qualifications: Bachelor's degree in Health Information Management (HIM) or related field. At least 5 years of relevant experience in HIM, including at last 2 years in a supervisory capacity. RHIA (Registered Health Information Administrator) or RHIT (Registered Health Information Technician) credential. Demonstrated proficiency in medical terminology. Strong organizational and written communication skills. Exceptional leadership, problem-solving, and interpersonal skills.
Preferred Qualifications: Master's degree in Health Information Management, Business Management, Health Information Technology, or a related field. RHIA credential. 10 or more years of progressive experience in HIM.

  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 4 panel drug screen*
  • Meet Regulatory Requirements for pre-employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s).

Anticipated Pay Range:


The salary range (or hiring range) for this position is $93,636 - $ $107,161 / year.
The above salary range represents SBUH's good faith and reasonable estimate of the range of possible compensation at the time of posting. The specific salary offer will be based on the candidate's validated years of comparable experience. Any efforts to inflate or misrepresent experience are grounds for disqualification from the application process or termination of employment if hired.
Some positions offer annual supplemental pay such as:
* Location pay for UUP, CSEA & PEF full-time positions ($3400)
