Marketing Coordinator, Awards & Conferences

Overview:

Coordinates national award submissions, tracking wins and handling communication across teams for awards-related activities. Fulfills the annual schedule for global design surveys, gathers data from internal departments and publishes results. Coordinates the firm's involvement in conferences and execution of creative content deliverables. Collaboration with multiple teams is essential using a wide range of developing professional skills. Responsibilities:

Awards:

  • Collaborates with the Design Awards Leadership team to formulate the annual submission strategy
  • Assists the Design Awards Leadership team in establishing and maintaining a comprehensive national design awards calendar, managing submission dates and requirements
  • Disseminates the call for entries with the firm's design leaders in conjunction with administrative professionals
  • Facilitates selection of projects for submission in collaboration with design leadership and support communication of selected projects
  • Coordinates the submission process and serves as intermediary between the firm and the design award entity during the submission process and upon receiving notification of wins
  • Ensures final entry documents are saved to network folder for reference and future utilization
  • Collects feedback from award juries upon the conclusion of the entry process
  • Supports collaboration across multifunctional teams on MarCom led awards
  • Tracks wins and manages execution of announcements following internal and external communications strategy with various teams and communications channels
  • When associated with a conference, ensures seamless coordination of the announcement and integration into the conference requirements, organizing suitable representation at the conference award announcement celebration and collecting the award certificate for record keeping

Conferences:

  • Creates communication of firm's participation in national and regional conferences and speaking engagements through MarCom channels
  • Collaborates with MarCom team to determine most suitable deliverables and appropriate firm vs. personal channels to enhance engagement
  • Collaborates with conference teams on the creation of sponsored content articles, social media reels, leadership quotes, videos, promotional materials, handouts, banners and informative materials
  • Coordinates with MarCom team to plan and execute conference related deliverables

Surveys:

  • Carries out annual schedule of global design industry surveys and rankings
  • Categorizes survey data by internal departments for input
  • Engages with appropriate firm departments such as accounting, human resources, practice leaders and subject matter experts to gather required information
  • Reviews submission with MarCom directors and obtains approval from CEO
  • Submits survey data and track results
  • Publishes survey results within MarCom, on Source page and coordinates with communications channels as appropriate

Qualifications:

  • Bachelor's degree in Marketing, Communications or related degree
  • Typically with 1+ years of marketing experience
  • Proficiency in Adobe Creative Suite
  • Proficiency in MS Office Suite, including Microsoft Word, Excel and PowerPoint
  • Experience in public relations and corporate communications preferred
  • Knowledge of branding principles and audience engagement strategies
  • Strong writing skills with experience in graphically designed page layouts
  • Strong attention to detail and commitment to excellence
  • Strong interpersonal skills and the ability to interact with all levels of staff and clients; ability to forge trusting relationships within a diverse team
  • Strong organizational skills and the ability to work on multiple projects at the same time
  • Ability to communicate and present ideas in a clear, concise and professional manner both verbally and in writing
  • Ability to problem solve and apply innovative solutions
  • Ability to work and collaborate in a team environment, and ability to work independently and prioritize work
  • Ability to effectively meet deadlines at expected quality
  • Travel may be required
