Bachelor's degree (foreign equivalent or higher). Three (3) years of full time directly related accounting and/or financial management experience. Experience with financial reporting preparation, budgeting, financial modeling, and/or cost/benefit analysis. Experience with financial systems. Experience with Microsoft Office Suite and/or Google applications.

Preferred Qualifications:
Master's degree or MBA (foreign equivalent or higher) in Accounting, Finance, or related field. Additional years (4+) of full time directly related accounting and/or financial management experience. Experience with SUNY financial Systems or CBM experience. Experience with State of New York financial regulations. Experience working in a financial capacity of an institution of higher learning.

Brief Description of Duties:
The Assistant Director of Residential Business Operations is responsible for supporting the Assistant Vice President for Campus Residences (AVP), and the Director of Residential Business Operations with financial reporting, forecasting and analysis for Campus Residences. This position will assist in developing the annual operating budget as well as assisting with the annual capital plan. This position is also responsible for various finance and budget initiatives that support the AVP and Director. The incumbent will be responsible for complex financial reporting and data analysis, as well as review and reconstruction of current financial practices to ensure efficiency. Incumbent must have strong problem solving and analytical skills as well as excellent written and verbal communication skills. Incumbent must have the ability to gather, analyze and evaluate complex information, ability to improve business processes, and ability to identify key issues and use inductive reasoning in complex situations.

Financial Reporting, Forecasting and Analysis:



  • Perform account reconciliations by department of submitted budget compared to various financial/accounting systems, which include, but are not limited to, SUNY 1, SMRT, SUNY BI, SBU Reporting, PS, and the StarRez housing database.
  • Perform customized financial analysis, including budget projections, and analyses of budget to actual activity.
  • Ensure all financial reporting issues are identified, tracked, reported on, and resolved in a timely manner-Responsible for accurate forecasting and budgeting, as well as presenting this data in a financial model.
  • Responsible for the accurate coordination, compilation, and distribution of mid-year and year-end financial data to departmental senior management throughout Campus Residences.
  • Develop and prepare reports utilizing various reporting and analysis tools, including but not limited to PeopleSoft Query, Microsoft Excel and the StarRez housing database to project and reconcile occupancy in the residence halls and apartments. Such reports are in support of the budgetary preparation and monitoring process and other strategic planning initiatives. Reports will also be used to maintain financial data integrity university-wide. Any discrepancies are identified, tracked and resolved in a timely manner.
  • Prepare the monthly calculation of estimated revenues, receipts and expenditures by cost center and object of expense for inclusion in DIFR reports. -Provide ad-hoc research and analysis on items of interest to AVP and Director.


Budget Process:



  • Prepare annual allocations based on budgeted costs to each cost center supported by logical and defensible distribution methodologies.
  • Assist in preparation of the room rate review process with constituent student residence groups by preparing materials to summarize and justify program budget requests, including data gathering/reporting and trend analyses in connection with budgetary formulation and administration.
  • Assist in development of the Form 1 Budget file which includes the input of the approved DIFR budgeted allocation request into the Campus Budgeting Module (CBM)
  • Prepare related budget presentation materials to be utilized in budget presentation to the President and Budget Working Group, which includes communicating with and researching other SUNY schools to gather bench-marking information.
  • Interpret, analyze, and make suggestions regarding current established financial policies, procedures, and processes.
  • Prepare ad hoc analysis and various other reporting to assist with the budgeting process.


Finance and Budget Initiatives:



  • Responsible for assisting the Director of Residential Business Operations with the Annual Report which includes focusing efforts year-round on strategic priorities, assessments and benchmarking.
  • Assist in Contract analysis and budget planning which includes forecasting out 3-5 years.
  • Assist with Conference Housing revenue collections and reconciliation of invoices.
  • Make recommendations, update and maintain the Business Operations webpage to ensure all information is current and accurate.-Assist with financial analysis related to construction proposals and associated financing considerations.
  • Reconcile expenditures in the Dormitory Authority of the State of New York (DASNY) system and forecast bonded capital project account balances to ensure adequate funding levels.
  • Update and reconcile project accounts found in the 074 revolving loan fund monthly to MP2 accounts.
  • Provide training to employees on financial software programs and websites.


Professional Development:



  • Participates in opportunities that promote their learning, growth, and development (i.e., classes, training, committees, webinars).
  • Contributes to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas within and outside the Office of Student Life (i.e., campus-wide traditions, events, programs).
  • Other duties or projects as assigned as appropriate to rank and departmental mission.
  • Hours outside the typical work schedule may be required at times.


Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.

In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.
