Job Summary:



The Dean's office at the Skaggs School of Pharmacy and Pharmaceutical Sciences (SSPPS) has an exciting opportunity to join our administrative team. This full-time position will provide business administration and human resources support to Dean's Office team and the Human Resources Office under the supervision of the Associate Dean for Finance and Administration.

The individual in this position will be required to exercise excellent prioritization, communication, and customer service skills. The Business Administration Professional must possess the ability to successfully manage competing and changing priorities. An individual with solid business and academic administrative skills, knowledge of general HR practices, commitment to excellence, and the ability to work effectively in a fast-paced, technical, and evolving environment will thrive in our school.

This position will also provide general business and administrative support to the Associate Deans and other Dean's Office employees. This position is expected to communicate, document, and support various efforts and in doing so will maintain relationships with a variety of personnel throughout the schools and colleges on Anschutz Medical Campus.

Key Responsibilities:



  • Administrative Support: Manage confidential communications for Associate Deans, ensuring compliance with regulations. Create and organize emails, memos, and distributions. Attend staff meetings and prepare documents, reports, and policies. Coordinate travel, itineraries, and events, handling logistics and paperwork.
  • Financial Administration: Process procurements, travel reimbursements, and allocations for Associate Deans. Prepare and submit monthly expense reports, balancing accounts and maintaining financial stability. Collaborate with the Dean's Office of Finance to resolve discrepancies and reconcile procurement and travel card reports.
  • Business Operations: Oversee daily office activities, assist with logistics for guest speakers and faculty candidates, including travel and honoraria. Serve as a resource for faculty/staff on operational practices and policies, and coordinate building maintenance with the Facilities Manager.
  • Human Resources: Maintain HR records, assist with common HR inquiries, and escalate complex issues. Support payroll processing, address errors, and provide clerical support to HR.
  • Payroll and Benefits Support: Assist with payroll processing, answer employee inquiries, and correct payroll errors. Provide clerical support to streamline HR processes and ensure timely payroll management.
  • Visa and Work Authorization: Coordinate with the Office of International Student and Scholar Services to manage work authorizations and visas, ensuring regulatory compliance.
  • Recruitment, Onboarding, and Leave Coordination: Draft job descriptions, post positions, screen applicants, and coordinate interviews. Support search committees and assist with onboarding. Help manage leave, including timesheet uploads and FAMLI/FLM requests.



Work Location:



Hybrid - this role is eligible for a hybrid schedule of 2 - 3 days per week on campus and as needed for in-person meetings.

Qualifications:



Minimum Qualifications:



  • Bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
  • One (1) year of experience with general business or HR administration.


A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:



  • One (1) year of experience in human resources.
  • Experience providing administrative support.
  • Experience with financial, accounting, and/or general business experience in higher education.
  • Experience with University of Colorado systems (HCM, Marketplace, Concur, CU Careers), reporting, finance, procurement, invoicing, and expense reconciliation.

  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.

Anticipated Pay Range:



The starting salary range (or hiring range) for this position has been established as $55,975 - $69,175.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
