DEPARTMENT OVERVIEW

Systemwide Employee & Labor Relations fosters employee engagement, negotiates and administers local and systemwide labor agreements and provides multi-faceted support toward ensuring an inclusive, diverse, collaborative and productive work environments across the UC system.

POSITION SUMMARY

This is a TEMPORARY position within our Temporary Office of the President Staffing (TOPS) program.

KEY RESPONSIBILITIES

  • Case Workflow Tracking and Management: Collaborate with Systemwide Employee Relations (SWER) staff to track and manage the case workflow for formal employee appeals and complaints, ensuring timely resolution
  • Central Point of Contact: Serve as the primary coordinator, managing multiple tasks and synchronizing case flow to ensure efficiency
  • Case Intake & Data Entry: Perform intake for specific case types, ensuring accurate data entry into iSight or other required systems
  • Case Coordination & Collaboration: Coordinate case logistics as needed with other case management partners, for tracking and management purposes
  • Case Record Updates: Ensure timely and accurate updates to case records in the appropriate systems
  • System Expertise: Continuously develop proficiency in the iSight case management system for efficient case handling and data management
  • Case Acknowledgment & Communication: Acknowledge incoming cases and maintain professional, timely communication with all parties involved
  • Case Tracking & Status Updates: Track case status at each stage, keeping SWER informed of communications, requests, and progress between UCOP and locations
  • Confidentiality Compliance: Maintain strict confidentiality standards and safeguard sensitive case information in accordance with relevant policies and legal requirements
  • Prioritization & Escalation: Prioritize and triage incoming matters, collaborating with subject matter experts or escalating to leadership as needed to ensure alignment and support
  • Case Tracking Systems: Create and maintain case tracking systems in SmartSheet or other tools to support case management
  • Template Creation: Develop and maintain templates for recurring tasks, forms, and documents to standardize processes
  • Data Management & Reporting: Perform data entry, updates, and analysis across various systems, generating detailed reports as required
  • Document Organization: Organize case materials, files, and communications to support efficient operations and easy access to information
  • Electronic Document Management: Manage documents across department systems, including SharePoint, NetDocs, SmartSheet, and others
  • Operational Support: Provide back-up support for operational tasks, including:
    • Business systems support including Concur/Connexxus, Box, SharePoint, SmartSheet, U:drive, etc.
    • Signature routing via DocuSign as needed, ensuring that proper content and format guidelines are followed
    • Monitor and manage department email accounts, adhering to department protocols
    • Meeting and event support (in-person, online, hybrid) including scheduling, agendas, notes, and logistics
    • General office support as needed

MINIMUM QUALIFICATIONS

  • Two years related experience
  • Strong proficiency in common computer applications and productivity tools including web-based applications and systems
  • Strong communication and interpersonal skills to communicate effectively, both verbally and in writing
  • Comfortable working with multiple teams, including leadership, SMEs, and cross-functional stakeholders
  • Skilled in managing multiple tasks, prioritizing urgent matters, and meeting deadlines in a fast-paced environment
  • Strong ability to maintain accuracy in data entry, case record updates, and report generation
  • Ability to develop templates and streamline processes for efficiency and consistency
  • Ability to handle sensitive information with discretion, ensuring compliance with privacy and confidentiality standards
  • Detail oriented

PREFERRED QUALIFICATIONS

  • Background in employee relations, labor relations or human resources
  • Knowledge of case management and business systems (e.g., iSight, SharePoint, SmartSheet, NetDocs)
  • Training in case management, legal documentation, or business systems management
  • Familiar with labor law, employment policies and regulations
  • Data system development and implementation experience

EDUCATION

  • Bachelor's degree in related area and/or equivalent experience/training.

SPECIAL CONDITIONS

This position is eligible for a remote work arrangement. The person hired will be required to reside within California.

SALARY AND BENEFITS

The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs It is not typical for an individual to be offered a salary at or near the top of the salary grade for a position. The full salary range shows the growth potential for this position.

PayScale/ budgeted hourly range: $34.77/hour - $48.28/hour. Salary offers are determined based on final candidate qualifications and experience.
