We are looking for a Move Coordinator, to join our Relocation Project Management team.

What this job involves:

As a Move Coordinator, you will be responsible for managing the incoming space requests by creating Move Central Reports to provide to the Occupancy Planning team, Process all approved requests in the CAFM system.
Create and install New Hire, Transfer to Site and Redeployment signage and update the offboarded staff signage across campus.
Ensure Jones Lang LaSalle and client's best practices and policies are followed.
Comply with all Jones Lang LaSalle policies and procedures, including but not limited to time & expenses, ethics, and business practice.
Daily review of the Relocation Services emails.
Monthly Minor Move execution and Group Moves as they arise.
Locker Management

Managing Monthly Moves- Minor Moves/Churn Moves
You will be responsible for monthly Moves. Receive and process client move requests. Incorporation of "Best Practices" into move projects. Coordinating with staff and vendors to ensure seamless moves. Walking spaces pre and post moves, sending out move manifests and communications to all move teams and staff. Manage the delivery of boxes, labels, and crates to staff moving. Perform data input into the CAFM system to maintain occupancy information. Ensure move processes are managed in accordance with the client's and Jones Lang LaSalle's policies and procedures. Adherence to move management schedule and budget.
Manage Group Moves as needed. Prepare new proposals for Group moves as required. Compare vendor/subcontractor invoices to purchase orders or subcontracts.

Fostering relationships
You'll foster critical relationships between various individuals and vendors. Simultaneously, ensuring coordination and collaboration among various business units, vendors and facility management, will be crucial as you aim to provide quality service to all.

Managing Lockers
Manage overall lockers to ensure availability and reduce or avoid any wait lists.
Responsible for locker assignments, locker recovery, locker maintenance and battery management. Perform locker audits using the CAFM system to obtain clear records of lockers to recover. Maintain accurate data in CAFM system.

Office Signage
Create office signs for all new hires, transfer to site and relocations. Update office signs from weekly offboarding reports. Provide updated signage for all staff on Minor Moves and group moves. Maintain an accurate count of missing signs or sign hardware requiring replacement.

Technology Proficiencies
You will be successful on the job if you have strong skills in Microsoft Excel (pivot table, cell calculations), and understand floorplans. Ability to utilize Microsoft Office Suite.

Excellent communication skills are important - both written and spoken. An individual with strong interpersonal skills, able to understand complex ideas and communicate them to others, and an ability to interact with executive-level external and internal clients will be successful in the role. You'll be effective in your role by learning to ask the right questions to understand the underlying needs of our clients.

Below are the skills and experience that we are looking for:

One to three years related experience
Background in project management, construction management, architecture or project strategy planning is desirable.
Attention to detail and accuracy.
Excellent written and verbal communication skills
Organizational skills with the ability to identify and manage priorities.
Flexible with work hours and travel as needed.
Ability to muti-task and work both in a team and independently
Familiarity with architectural drawings, furniture, and space planning concepts
