JOB SUMMARY

The Archivist will be responsible for establishing an organizational system and setting up an archive that will house jewelry models, molds, prototypes, and samples. Works independently to develop policies & procedures and manage the preservation of the company's extensive collection. Responsible for setting up archival systems for other types of items including one-of-a-kind items, catalogs, sketches and artwork, documents, oral history, photographs, and videos. Ensures historical and current design information is systematically archived, protected, and easily accessible to support the Design, Development, Manufacturing, & Marketing teams, and other partnered departments.

WHAT YOU WILL BE DOING:

Archive Management:



  • Develop and maintain an organized archival system for all jewelry models, molds, prototypes, and samples, as well as one-of-a-kind items, catalogs, sketches, photographs, and additional documents.
  • Catalog all physical items and collaborate cross-functionally on their digitization, ensuring accurate metadata and cross-referencing for easy retrieval.
  • Implement best practices for the preservation and conservation of physical materials.


Research and Retrieval:



  • Assist teams by providing access to historical and current design records.
  • Conduct research within the archives to support new product development, marketing campaigns, and company heritage projects.
  • Facilitate the retrieval of archival materials for presentations and other company needs/events and manage records of check-outs and returns.


Documentation and Record Keeping:



  • Create detailed descriptions and documentation for each archived item, including provenance, materials, techniques, and design notes.
  • Maintain up-to-date records of all archived items, including acquisition, condition reports, and any restoration work done.
  • Responsible for submitting and maintaining copyright records.


Collaboration and Communication:



  • Work closely with product designers, developers, and marketing teams to understand their archival needs and provide tailored solutions.
  • Collaborate cross-functionally to enhance digital archiving processes and systems.


Quality Control and Compliance:



  • Ensure compliance with industry standards and legal requirements for intellectual property and copyright management.
  • Conduct regular audits and inventory reconciliation of the archival system to ensure accuracy and completeness.
  • Develop and implement policies and procedures for archival management and usage.


WHAT IS REQUIRED:



  • Bachelor's Degree in Library Science, Archival Studies or related field; or equivalent combination of education and/or experience.
  • 3 years of experience in archival or project management.
  • Strong knowledge of archival principles, practices and standards.
  • Proficiency in archival management software and digital asset management systems.
  • Excellent organizational, analytical and research skills.
  • Strong attention to detail and a high degree of accuracy.
  • Ability to handle delicate materials with care and attention.
  • Excellent written and verbal communication skills.
  • Ability to work independently and cross-functionally.
  • Ability to travel to various work locations as needed.


PREFERRED QUALIFICATIONS:



  • Experience in archival or project management in a design, art, textiles, architecture, museum or manufacturing environment.
  • Experience in the jewelry industry or related field.
  • Knowledge of jewelry design and manufacturing processes.
  • Familiarity with copyright laws and intellectual property rights related to design.
